Situation
The buyer, a shipping company wanted a structured RFP process for clarifying the market situation for waste oil handling in 40 different ports. The RFP process should secure that the suppliers were evaluated on Total Cost of Ownership. The shipping company wanted to limit the number of suppliers and wanted to secure that all ports were covered by a contract. A total of 96 suppliers was invited.
Solution
- Selected a RFx Cherry Picking format for the event because none of the suppliers were able to support all 40 ports
- The suppliers could quote for each of the 40 ports which they were able to support
- Waste handlings by port in 2nd half 2013 and 1st half 2014 was provided as the benchmark and best indication of the volume
- All communication were handled via the platform and the Q&A process was structured in a way that all the suppliers received equally information
Result
- Very structured and organized process secured transparency and great time savings
- Fewer emails and phones calls from suppliers - all communication captured within the system
- Easy accessible and complete audit trail
- Enabled proactive follow up during the process to have as many completed responses as possible
- Comparable evaluation based on TCO
